Information regarding Booths and Displays

The Global Article 9 Conference to Abolish War will be held between 4-6 May 2008 at Makuhari Messe, Chiba, Japan. The event will include a plenary session featuring guests such as Nobel Peace Prize Laureates and internationally renowned figures, as well as symposiums and workshops with participants from Japanese and international NGOs and the wider peace movement.

A range of other events, including musical and dance performances, will also take place. As an ongoing element to the festival, there will also be areas available for groups and individuals to organise booths, displays of photographs, art or information, sell items and so on.   1. Any kind of display or booth related to the principles of Article 9 and the Global Article 9 Conference are welcome, including the sale of books and other items (upon approval by the Organising Committee).
    Illegal items or items involving the use of fire are prohibited.
  2. Number of booths available: 60
  3. Size: 1 booth is 3.3㎡. This includes: 1 long desk, 2 chairs, 1 display board/folding display screen.
  4. Time: Displays will run for both 4 - 5 May unless otherwise requested (in this case, please indicate this in application).
  5. Facilities:
    • Long desk - 1 per booth (length 1.8m, width 0.6m, height 0.7m)
    • Chair- 2 per booth (extras can be provided as needed, however available space is limited)
    • Display board or screen - 1 per booth
    • Display screen - height 1.8m, width 1.8m, folds into three parts. Items cannot be stuck directly, so please bring cloth or paper to stick your items onto first.
    • Display board - height 1.8m, width 1.3m. Items can be pinned directly to display boards.
    • Electricity - power points for small items such as computers will be provided, however please bring an extension cord.
  6. Fees:
    For groups/individuals in Japan: 7,000 yen per booth for 2 days (4-5 May).
    This includes two entrance tickets to the Global Article 9 Conference, which will be provided at the venue's reception on the day of the event.

    For groups/individuals outside of Japan: US$50 for 2 days (4-5 May).
    Separate entrance tickets to the Global Article 9 Conference are required. We also encourage groups selling items to donate part of their profit to the Global Article 9 Conference.
  7. Sale of food and drinks: Only limited items are permitted - please contact organisers for details.
  8. Space: Groups or individuals wishing to use more than one booth, extra space, or several display boards are requested to contact the organisers, due to limited space and layout concerns. A 1,000 yen fee applies for extra display boards or screens.
  9. There will be a dedicated entrance for vehicles related to displays and booths. Please use the parking space within the Makuhari Messe complex.
Display times

4 May: Preparation: 9:00-11:00, Open: 11:00-19:00
5 May: Open: 9:00-19:00, All displays to be removed by 21:00
Applications

Applications for booths should be made by fax or email. Applications will be accepted until 14 March (Friday), however as space is limited, applications will no longer be accepted after all booths are filled. We thank you for your understanding.
